The Executive Assistant will be responsible for supporting the Managing Director in the areas of business development, managing her calendar, making travel arrangements, organizing client contacts, and handling projects. Will have additional responsibilities in the areas of client relations, recruiting, collections, and office management. This is an excellent opportunity for someone with good organizational skills who thrives in a busy environment. Must possess strong business judgment and communication skills needed to interact with a variety of people and job functions.

Essential Functions:

  • Supports the Managing Director in all her business development efforts, including, but not limited to managing her calendar, making travel arrangements, drafting emails, tracking, updating and following up with Managing Director on client prospects
  • Undertakes case proposal preparation
  • Handles building and office management matters
  • Assists with recruiting efforts and development of marketing materials
  • Proficiency with online research
  • Ability to edit written work product and self-edit own writing to assure that deliverables are error-free
  • Responsible for collections process and client contact on billing and collections matters
  • Distribute daily docket updates for all cases and update the case calendar
  • Helps maintain the professional appearance and organization of the Managing Director’s active files and work area
  • Other projects, tasks, and responsibilities as assigned

  • Excellent verbal, written, and interpersonal skills with an emphasis on professional business demeanor, communication, and customer service
  • Proficiency in Microsoft Office, especially Excel and Outlook
  • Strong organizational skills with extraordinary attention to detail, commitment to accurate data entry, and timely follow through of assigned tasks
  • Prioritization, project coordination, and collaboration skills required
  • Tact and discretion to work with sensitive client information and maintain strict confidentiality
  • Proactive approach to potential problems
  • Experience in a law office environment is required

Education & Experience

  • Bachelor’s degree with a GPA of 3.4 or above
  • At least 5 years of experience in a law firm
